Summary

The Human Resources Senior Associate works with the Human Resources & Operations Manager to make Root Capital (RC) a great place to work and to support its growth and development. S(he) is responsible for ensuring the recruitment process, benefits administration and HRIS systems are integrated and operate effectively. His/her work will reflect the organization’s belief that a well-supported, well-managed, motivated and engaged staff that embodies RC’s values will be the most effective in achieving Root Capital’s mission.

Root Capital’s mission is to grow rural prosperity by investing in small and growing agricultural businesses that build sustainable livelihoods in Africa and Latin America. Root Capital is a nonprofit social investment fund that grows rural prosperity in poor, environmentally vulnerable places in Africa and Latin America by lending capital, delivering financial training and strengthening market connections for small and growing agricultural businesses. Root Capital clients include associations and private businesses that help create sustainable livelihoods by aggregating the products of hundreds, and often, thousands of farmers. Since our launch in 1999, we have provided more than $500 million in credit to over 420 small and growing agricultural businesses. Root Capital envision a thriving financial market serving agricultural businesses that generate long-term social, economic, and environmental sustainability for small-scale farmers and their communities around the world. Responsibilities

Lead the recruiting and hiring processes in Cambridge Office

  • Build and follow best practices at Root Capital to screen and select the best candidates, ensuring compliance with all policies and processes
  • Coordinate with HR team on recruitment activities to ensure compliance with organizational policies
  • Guide hiring managers in the development of position descriptions and sourcing strategies
  • Source appropriate candidates through internal and external networks, industry events, internal recruitment databases and online electronic resources
  • Maintain knowledge of non-profit marketplace to ensure competitiveness in hiring
  • Provide stewardship in the staffing strategy process
  • Conduct phone screens of prospective candidates and develops short list of qualified candidates
  • Schedule interviews with the Hiring Managers and escort candidates during interviews
  • Conduct reference checks
  • Ensure that all staffing documentation submitted complies with required specifications
  • Negotiate candidate salaries and allowances, where applicable, within program budget constraints
  • Participate in the HR and organizational meetings, providing subject matter expertise
  • Lead the ongoing monitoring, evaluation, and reporting of recruitment activities
  • Regularly analyze recruitment tools, processes, and policies to assess which elements need to be refined and recommend and implement changes where appropriate
  • Stay abreast of recruitment best practices and technological innovations related to recruitment

Coordinate logistics and onboarding for new hires

  • Coordinate new hire set up process with Communications, Accounting, Finance and HR teams in Root Capital systems.
  • Coordinate new employee set up process with Admin and IT, teams to ensure new hires have necessary supplies, equipment and access to systems to receive appropriate welcome notices.
  • Prepare Welcome Packet for new hires.
  • Ensure seating chart and organizational chart is update. Make sure new hire workstation is set up.
  • Coordinate on-boarding sessions for operational information and support development of presentations for on-boarding sessions.
  • Conduct HR Benefit orientation training to new hires. Ensure benefit enrollments are timely.
  • Host follow up check-ins with new hires.
  • Work with supervisors to ensure that 90 day check-ins are held and objectives are set.

Coordinate employee transitions:

  • Ensure employee transitions are handled professionally, sensitively, are in compliance with labor laws, and are properly documented.
  • Manage employee transitions with IT, Administration, Communications, Accounting, Finance and HR Teams.
  • Ensure benefit system platform is updated.
  • Update HRIS system and electronic files in Box.
  • Ensure employee transitions are transferred to payroll in ADP. 

Manage HR processes and communications: 

  • Coordinate with HR regional managers, to make sure HR processes (recruiting, hiring, onboarding, transitions) are implemented correctly in the regional offices.
  • Maintain HR tools such as guidelines, checklists, policies & procedure templates to streamline HR processes and ensure HR practices are implemented among Staff.
  • Provide support on ADP administration to field HR Managers
  • Maintain Human Resources calendar for employee milestones and follow up according to protocol or as needed, such as sending reminders, or planning recognition events.
  • Ensure Root Capital’s website and HR portal on intranet is maintained with updated postings and staff bios, in coordination with the communications team.

Administer benefit programs in Cambridge office:

  • Coordinate the administration of Cambridge-based employee benefit programs.
  • Lead open enrollment process and relation with the different benefit providers.
  • Provide benefit census data from all our insurances as needed.
  • Process all changes and requests in benefits and make sure employees are in compliance with our handbook and law.
  • Intervene on behalf of staff with benefits providers to resolve issues with benefits.
  • Review and process benefit invoices (TUFTS, PPAL, UNUM, CPA).

Maintain organized and up-to-date personnel files in HRIS system in ADP and electronic system, and assist with preparation of payroll:

  • Maintain organized, up-to-date complete personnel files in Box and ensure physical files for all global employees, interns, and fellows are in filed in HR closet.
  • Maintain HRIS system and database updated and monitor ADP global updates (check regional offices).
  • Maintain hiring and personnel statistics and manage HRIS analytics by responding to internal requests for headcount data.
  • Assist with preparation of payroll report of employee pay data and deductions which are transmitted to accounting for payroll processing on a biweekly basis.

Qualifications and Experience

  • Bachelor’s degree
  • At least 5 years of related experience, in particular in recruitment process
  • Must have experience with HRIS systems. ADP platform highly desired.
  • Must have experience with administering benefits.
  • Strong interpersonal and multicultural skills.
  • Strong sense of humor and collaborative teamwork approach.
  • Proactive, service-oriented attitude.
  • Commitment to ensuring that staff is well-supported, well-managed, motivated, and engaged.
  • Spanish fluency highly desired.
  • Ability to plan and coordinate projects, and manage tasks independently.
  • Excellent attention to detail.
  • Enjoy working in a dynamic, fast-paced, and constantly evolving work environment.

Salary

Commensurate with experience.
